Payment reconciliation in Nigeria answers a practical question: does every order, confirmed payment, fee and bank credit agree with the records your business expects? When several payment methods or providers are involved, a successful checkout report alone rarely gives finance the complete picture.
Wigmore Trading accepts enquiries for payment reporting and reconciliation project scoping. Share your systems, sample report structures and recurring exceptions so the team can assess integration and workflow requirements. Use redacted examples rather than customer account details or live credentials.
Separate payment, settlement and accounting states
A customer payment may be confirmed before the related funds appear in a settlement account. Fees, refunds, disputes and timing differences can affect the net credit. Keep the order record, provider transaction record, settlement report and bank statement connected by usable references.
Ask the contracted provider to explain settlement schedules, deductions and exceptional cases. Clearing and settlement terminology can refer to different roles across arrangements; software reporting does not itself make an integration company a clearing or settlement operator.
Define the data you need to match
Document internal order or invoice references, provider references, gross amount, currency, transaction date, status, fees, adjustments and settlement identifiers. Confirm time zones and the meaning of each date. Inconsistent cut-off periods can create apparent differences even when totals eventually agree.
For multiple providers, create a consistent reporting model without losing their original references. Finance should be able to trace a summary amount back to the underlying evidence.
Design a controlled exception queue
| Exception | Action to define |
|---|---|
| Payment without order match | Investigate reference, amount and ownership before allocation |
| Order marked paid without evidence | Review verification and fulfilment controls |
| Settlement difference | Compare fees, refunds, disputes, reserves and timing |
| Duplicate record | Distinguish repeated events from a genuine additional payment |
| Unresolved item | Assign owner, ageing and escalation path |
Specify dashboards for decisions
Define each metric before building a payment dashboard. Attempted payments, successful payments, settled value and sales revenue describe different things. Record denominators, exclusions and the treatment of retries so reports do not overstate performance.
Useful views can include channel performance, unresolved transactions, settlement ageing, fee differences and refund status. Branch or merchant analytics should reflect the questions managers actually need to answer, with access appropriate to their role.
Integrate without losing the audit trail
Agree which system is the source for orders, invoices, payment status and final accounting entries. Track imports and updates so staff can identify the source of a change. Do not overwrite the history needed to explain a correction.
For automated matching, define rules and tolerances approved by finance. Items outside those rules should remain visible for review rather than being silently forced to balance. Record who approves write-offs or adjustments.
Plan refund and payout reconciliation
Refunds and vendor payouts should be traceable to their approval, source obligation and final outcome. A request accepted by an API does not necessarily mean the beneficiary has received funds. Keep pending, completed, failed and reversed outcomes understandable to operations.
The transfer and payout guide covers approval and beneficiary controls. For repeat billing, use the subscription guide to connect invoice status and collection history.
Test with representative business periods
Use a redacted sample period containing ordinary sales and genuine exceptions. Include different channels, refunds, partial payments and timing differences. Agree acceptance criteria for match accuracy, traceability and the remaining manual work.
Prepare a daily or periodic operating routine, including who reviews exceptions and closes the period. Reconciliation software supports the process; it still needs clear ownership, evidence and escalation.
Request a reconciliation assessment
Send Wigmore Trading the systems involved, transaction volumes, currencies, provider report formats and the current close process. Describe the most costly recurring mismatches and the reports required by finance and management. We can assess a discovery brief and clarify data integration, reporting, exception handling and handover scope.
