When a medical device stops working, the most useful service enquiry includes its identity, condition and role in the facility. “Repair our hospital equipment” is too broad to establish the skills, parts and response needed. A clear asset list helps distinguish planned maintenance from an urgent fault.

Wigmore Trading supports enquiries for biomedical equipment sourcing, replacement parts and service coordination in Nigeria. The available engineers, authorisations, coverage and deliverables must be confirmed for each device and project; an enquiry does not establish manufacturer-authorised repair status.

Create an accurate equipment register

Record manufacturer, model, serial number, location, age, service history and the person responsible for the asset. Describe the fault and any displayed error information without sending patient data. Identify whether equipment is out of service and the clinical contingency already in place.

The WHO medical-device inventory and maintenance resource treats equipment management across its lifecycle. An inventory helps support procurement, maintenance planning and eventual replacement rather than only responding to breakdowns.

Separate the service categories

Service Expected scope to define
Preventive maintenance Manufacturer-based tasks, schedule, consumables and records
Corrective repair Diagnosis, parts approval, repair work and post-repair checks
Calibration or performance verification Specified measurements, reference equipment and reporting
Replacement planning Obsolescence, support availability and total cost

Calibration, functional checking and repair are different activities. Ask the responsible technical professional which are required, and request suitable evidence for the work performed. A generic service sticker is not a complete maintenance record.

Confirm competence and access

Identify any requirement for manufacturer authorisation, specialist software, service passwords, test equipment or controlled parts. The facility should approve the service provider and method before work begins. Avoid unofficial software changes or undocumented component substitutions.

Agree infection-control preparation, access times and the equipment handover process with the healthcare facility. Equipment should return to clinical use only after the required technical and clinical acceptance.

Define the commercial service level

Separate acknowledgement time, attendance time, diagnosis time and restoration expectations. They are not the same promise. Confirm geographic coverage, travel charges, spare-parts lead times and escalation when a repair cannot be completed on site.

For a maintenance contract, identify included assets, planned visits, excluded components, emergency call-outs and documentation. Consider whether backup equipment or a managed replacement arrangement is needed, subject to actual availability.

Use repair information to improve purchasing

Repeated failures, scarce consumables and unsupported software can make replacement more sensible than another isolated repair. Review the asset’s criticality, remaining support and expected lifecycle cost. A replacement proposal should account for accessories, training, integration and disposal responsibilities.

Does a maintenance agreement guarantee no downtime?

No. The agreement should define practical support commitments and contingencies, not imply that equipment cannot fail.

What should I send Wigmore?

Provide a non-confidential asset schedule, location, service requirement, current condition and target dates. We can assess sourcing and coordination options and request device-specific information where necessary.

Prepare your equipment enquiry

Note the intended application, delivery location, quantities, target dates and required support. Include an approved specification or describe the work the equipment must perform. Separate confirmed requirements from assumptions and identify the person responsible for technical acceptance.

This checklist helps you prepare a brief; it does not submit information. Start with non-confidential project details. Do not include patient or student records, credentials or private financial documents in a general sales enquiry.
