A diagnostic service can stop when a small consumable is missing, even if the analyzer itself is working. Reliable purchasing therefore needs an item-level specification, a realistic reorder plan and clarity about storage and compatibility.

Wigmore Trading supports sourcing enquiries for medical consumables, laboratory reagents and diagnostic kits in Nigeria and African markets. Send your approved product schedule so we can assess supply options, documentation and delivery. Product identity, quantities and terms are confirmed before an order is agreed.

Use exact product descriptions

Include the manufacturer or approved equivalent, catalogue reference, pack size, intended use and compatible equipment. An item described only as “lab reagent” or “rapid test kit” cannot be quoted meaningfully. If alternatives are acceptable, identify the professional responsible for approving them.

Supply category Specification details
Analyzer reagents Platform, assay, pack format and compatibility evidence
Controls and calibrators Required level, instrument method and storage conditions
Diagnostic test kits Intended test, sample type, units per pack and documentation
General consumables Material, size, sterile status where relevant and packaging

Make expiry and storage visible in the quote

State the minimum acceptable remaining shelf life at delivery. For a small laboratory, buying a large discounted pack may be poor value if much of it expires before use. Consider opened-pack stability, usage rate and lead time as well as the printed expiry date.

Confirm storage conditions and transport requirements for each item. Do not assume that all reagents can travel together under a single temperature arrangement. The responsible professional should approve the handling plan.

Check regulatory and traceability evidence

Ask for product-specific documentation, lot or batch identification and appropriate supply records. Consult NAFDAC’s medical-device guidance for relevant device and diagnostic requirements. The supplier’s general business identity is not a substitute for the required product evidence.

Establish the process for reporting a damaged, incorrect or suspect item before use. Incoming inspection should check the agreed product, condition, quantity and remaining shelf life against the purchase order.

Plan recurring orders

Use consumption records to estimate reorder needs and identify items with long or variable lead times. Separate routine replenishment from an emergency purchase. Agree whether the quotation covers one shipment or an ongoing supply schedule.

A multi-site programme benefits from a standard item catalogue and a named approver for substitutions. This reduces the risk of incompatible consumables being sent to the wrong instrument or facility.

Compare delivered cost

Include packaging, required temperature controls, freight, clearance, local delivery and any minimum order quantities. Ask which costs are included and how long the quotation remains valid. For country-to-country projects, establish destination requirements separately.

Can I substitute a similar-looking reagent?

Only after appropriate technical approval. Similar packaging or a matching test name does not establish compatibility or equivalent performance.

What should my enquiry contain?

Send a product list, quantities, compatible models, minimum shelf life, storage requirements and delivery destination. No patient information is needed for a consumables quotation.

Prepare your equipment enquiry

Note the intended application, delivery location, quantities, target dates and required support. Include an approved specification or describe the work the equipment must perform. Separate confirmed requirements from assumptions and identify the person responsible for technical acceptance.

This checklist helps you prepare a brief; it does not submit information. Start with non-confidential project details. Do not include patient or student records, credentials or private financial documents in a general sales enquiry.
