A learning management system, school administration platform and computer-based testing system perform different jobs. A school may need more than one, but a broad promise of “all-in-one software” is not enough to establish whether the system handles its actual processes.

Wigmore Trading supports procurement and implementation enquiries for school technology in Nigeria and Africa. Share the required workflows and equipment needs so available software, hardware and integration options can be assessed. Specific features and provider arrangements require confirmation.

Separate the functions

System Typical requirement to define
Learning management system Courses, assignments, materials and teacher-learner interaction
School management platform Student records, attendance, reporting and administrative roles
Grading and reporting Approved assessment rules, review and report formats
CBT system Question management, scheduling, secure delivery and results handling

Document the school’s current workflow and exceptions before requesting demonstrations. A software demonstration should show the tasks staff need to perform, not simply a sequence of attractive screens.

Specify infrastructure for digital exams

List expected concurrent candidates, session duration and the applications required. Assess workstations, networking, power, backup arrangements and technical support. A centre’s equipment purchase does not automatically confer recognition by an examination body.

Where a particular examining organisation is involved, obtain its current requirements directly and establish the approval process. Do not rely on a generic CBT equipment list as evidence of accreditation.

Control access and data

Define user roles for administrators, teachers, learners and guardians. Establish permissions, audit records, retention, backups and procedures for exporting or correcting information. Obtain appropriate privacy and safeguarding advice for student data.

For attendance or identity systems, assess whether the proposed data collection is necessary and proportionate. A biometric function should not be enabled simply because a vendor offers it.

Test integration and migration

Identify existing records, payment systems and reporting formats. Agree who cleans and migrates data, who checks the results and what happens to historical information. Confirm APIs or file interfaces with evidence; two products described as cloud-based do not automatically integrate.

Use non-sensitive demonstration data for early evaluations. Plan a controlled pilot and acceptance checklist before transferring live school records.

Compare total contract costs

Clarify setup, subscriptions, user limits, hosting, hardware, training, support and renewal terms. Ask what happens if the institution changes provider: data export, access to records and termination charges should be clear.

For CBT equipment, include installation, network configuration, testing and staff training. Define responsibility for the full working system rather than leaving hardware and software suppliers to resolve interfaces after delivery.

Can one system cover every school?

No. Curriculum, administration, scale and reporting needs vary. Choose against documented requirements.

How do I start an enquiry?

Send school size, required modules, exam capacity, existing infrastructure and implementation dates. Wigmore can assess procurement and coordination options without needing student records in the initial brief.

Prepare your equipment enquiry

Note the intended application, delivery location, quantities, target dates and required support. Include an approved specification or describe the work the equipment must perform. Separate confirmed requirements from assumptions and identify the person responsible for technical acceptance.

This checklist helps you prepare a brief; it does not submit information. Start with non-confidential project details. Do not include patient or student records, credentials or private financial documents in a general sales enquiry.
