A good university recruitment proposal answers the career office’s first questions: who are you, what opportunity can you deliver, which students fit and what do you want the university to do? A short, complete brief is more useful than a long introduction with no roles, dates or responsibilities.
Use the structure below for an internship pipeline, graduate campaign or employer-engagement pilot in Nigeria. Adapt the details to the institution and the opportunity. The email is a starting point for a conversation, not a signed partnership agreement.
Prepare the one-page brief first
Record the company name, website, sector and verifiable corporate contact. State whether you are the employer or an authorised provider acting for one. Describe the roles, number of places, location, dates and proposed remuneration. For placements, include the learning objective and supervisor.
Explain the university’s requested contribution: circulate a vacancy, discuss eligible courses, help coordinate a session or review an ongoing placement arrangement. Do not ask for all of those things by default. Pick the smallest useful next step.

Subject: Employer partnership enquiry: [roles or placement area], [start period]
Dear Careers / Employer Relations Team,
I am [name and role] at [company, website and sector]. We would like to discuss [a funded graduate recruitment campaign / supervised internship pilot / employer-engagement session] for [relevant student level or disciplines].
Our initial requirement is [number] [roles or placements] in [location and work pattern], expected to start in [period]. The work would involve [two or three practical tasks]. We propose [duration, pay or allowance information] and [named supervisor or responsible function].
Could you confirm the appropriate process for [circulating the role / discussing placement requirements / arranging a short employer briefing]? We can provide a full role description and agree an application, assessment and feedback timetable.
Our contact for this enquiry is [corporate email and phone]. Would a short introductory call be suitable, or is there a preferred employer form we should complete?
Kind regards,
[Name]

Replace the brackets with verified details and remove options that do not apply. Do not say funding or headcount is approved if it is still being considered. Avoid attaching student records, identification or confidential client documents to an initial introduction.
For a university writing to Wigmore Trading
Lead with your institution, department or career office and the cohort you represent. Give the study level, relevant skills, availability and academic placement requirements. Explain whether you propose student work experience, graduate roles, a career session or a skills collaboration.
Describe the support your office provides: student preparation, eligibility checks, academic supervision and issue handling. Ask for a discussion of fit rather than requesting an unlimited number of placements. Wigmore can assess the proposal against actual operational capacity and opportunities.
Questions for the first meeting
- Which roles or learning outcomes are genuinely in scope?
- Who approves the activity, and who manages delivery?
- What dates fit the university and the employer?
- Who pays for allowances, travel, equipment or event costs?
- How will applications, assessment and feedback work?
- What information will be shared and through which channel?
- What would a successful pilot look like?
Write up the agreed next step after the meeting. Separate decisions from items still awaiting approval. A friendly introductory call does not authorise the use of logos or an announcement that a partnership has been signed.
Build an attachment employers and career offices can use
Keep the role description practical: purpose, tasks, essential requirements, working conditions, package, reporting line and selection stages. For a student project, add the learning output and what the student can access. For graduate roles, explain development and how performance will be reviewed.
Avoid vague claims about “unlimited opportunities” or “the best graduates”. Describe the actual offer and the evidence needed. Confirm the preferred contact route using the official university careers contact guide before sending the proposal.
Follow up without creating confusion
Use one named coordinator and keep a dated record of correspondence. If you receive no response, send a concise reminder with the original brief and ask whether another office is responsible. Do not copy a large list of unrelated staff or imply that silence amounts to approval.
When the university proposes changes, confirm the final role brief before circulation. Candidates should not receive different dates, packages or eligibility criteria from the employer and the institution.
What to agree before launch
Document scope, responsibilities, budget, branding permissions, information handling and escalation. Use appropriate professional review for binding terms, employment arrangements or scholarship obligations. For an ongoing programme, include a review date and a way to revise or end the arrangement.
Get support with recruitment coordination
If your HR team needs additional administrative capacity, discuss Wigmore’s Recruitment Assistant service. Send the proposed campaign, expected application volume, dates and tasks to be supported. University teams can use the same consultation route to introduce a relevant partnership proposal to Wigmore.
