A Japanese brand, a seller located in Japan and a product manufactured in Japan are not necessarily the same thing. Establish what is actually being offered and which documents support the offer.

Start with the destination

Provide the receiving country, port or delivery address and the importer. Before sourcing, check whether the exact goods are permitted and which registration, standards, inspection or licence requirements apply. New and used goods may have different treatment. Do not assume that an item accepted in one African country can enter another under the same rules.

For vehicles, confirm steering configuration, age rules, inspection and registration eligibility before selecting a unit. For medicines, devices, cosmetics, fuel and other regulated products, involve the responsible licensed parties early. A shipping quote does not establish permission to import.

Write a specification a supplier can quote

• Exact product, manufacturer preference and part or model number.
• New, used, refurbished or another clearly defined condition.
• Quantity, technical requirements and acceptable alternatives.
• Tests, certificates, packaging and language requirements.
• Destination, required date and receiving capability.

For repeat orders, include annual demand and call-off expectations. For a one-off machine, specify acceptance testing and installation responsibilities. For mixed cargo, provide an itemised list rather than a single description such as “Japanese goods”.

Verify supplier identity and the actual goods

Check the contracting company, supply role, references and payment recipient independently. Ask for documentation that identifies the offered goods, not merely a catalogue photograph. For used equipment, request serial numbers, condition records and a suitable inspection. For branded products, confirm the authorised supply route and territorial terms.

Agree what happens if a sample, test or inspection fails. Do not treat a video call as a substitute for a technical inspection where the purchase requires one. A sensible pilot or staged commitment can help establish a new relationship.

Japanese export clearance and controlled goods

Japan Customs’ export guidance explains declaration, invoice and applicable additional approvals. The Japanese exporter and its appointed professionals should determine the current requirements for the actual shipment. Technical goods may also need an export-control review; METI publishes Japan’s security export-control resources.

Provide an accurate end user, application and destination. Do not split descriptions, omit components or use an incorrect classification to avoid a restriction. Resolve eligibility and documentation before booking transport.

Compare complete quotations

State the named place and agreed trade term. Confirm currency, quotation validity, payment milestones and exclusions. A low product price can be offset by unsuitable packing, missing approvals or expensive commissioning.

Plan shipping around the goods

Air freight can suit some urgent or compact shipments; sea freight may suit larger or heavier orders. Vehicles, oversized machinery, dangerous goods and valuable cargo require specific acceptance and handling. Ask for a dated routing proposal rather than relying on a universal transit-time promise.
